Executive Assistant to CFO and COO, Global Infrastructure Company, Coral Gables, Florida
Our client, a leading global infrastructure company that delivers high-quality projects across various sectors is looking for an Executive Assistant to support the CFO and COO with their administrative needs. The ideal candidate has experience working in a fast-paced environment, is very detail-oriented and organized as well as has experience working with Board of Directors. This is a very exciting opportunity for someone who describes themselves as warm, engaging and a true problem solver that enjoys keeping everything for key executives on track. This is 5 days in their beautiful offices in Coral Gables.
About the Job:
Support the CFO and COO with all day-to-day matters including managing ever- changing calendars, prioritizing meetings and understanding the ramifications when making changes to the calendar
Prioritize emails and craft responses on their behalf
Organize and manage domestic and international travel arrangements with detailed itineraries
Be a key liaison to the Board of Directors and executive team
Prepare for and manage the Board of Directors meetings from start to finish including collateral materials, agendas, catering and the like
Prepare executives for internal meetings including research and compiling reports and presentations; Coordinate projects and meeting with the CEOs Executive Assistant working as a team
Plan company events and dinners
Expense reporting
Ad hoc projects
Off hour availability via cell within reason
Salary plus Discretionary Bonus; Comprehensive Health Benefits, 401K Match
About You:
A minimum of 5 years of experience as an Executive Assistant supporting 1 or more C-Suite Executives
Bachelors Degree
Experience working with a Board of Directors planning meetings and acting as the liaison
Experience planning events
Very detail oriented with the ability to change gears quickly - a true multi-tasker
High level of integrity and discretion in handling all confidential information; high emotional and intellectual intelligence
Excellent Microsoft Office Suite skills
Excellent written and verbal communication skills
