POSITION DESCRIPTION: Assistant Controller

Reports to: CFO and Controller

Summary: Prepare the accounting records and financial statements for the investment entities, various corporations, partnerships, and other entities in a family office setting. The Assistant Controller will also support the Treasury function of the family office, as well as the preparation of workpapers for tax returns. This position has the ability for hybrid remote/office work at the discretion of the CFO.

Qualifications:

• Undergraduate degree in Accounting required.
• Minimum of 7 years of work experience in a CPA or similar firm with financial statement preparation experience. Family Office experience a plus.
• Working knowledge of tax workpaper preparation and tax returns is helpful, but not required.
• Ability to read, analyze and interpret financial information and other day to day correspondence and take appropriate action based on such.
• Ability to effectively communicate (orally and written) with Family Office management and family members of varying financial experience, banking/investment teams, external accountants, attorneys and consultants.
• Strong organizational skills to complete all accounting work efficiently and effectively within appropriate deadlines with minimal supervision.
• Strong analytical skills with a willingness to improve processes and internal controls.
• Strong technology skills preferred with proficiency in Excel (advanced), Word, PowerPoint, and general ledger software such as QuickBooks (Desktop), Sage Intaact,or SEI Archway.
• Positive, service-oriented attitude towards Family Office clients, fellow team members, and other service providers.
• Self-directed with a good work ethic and standard for excellence.

Specific Duties:

Accounting and Financial Reporting Services

• Update current entity general ledgers to tax basis financial accounting from existing ledgers in QuickBooks Online for eventual transition to new software.
• Build a working relationship with the Direct Investments team to stay ahead of transactions and collect appropriate documentation and approvals to assist in executing the transactions.
• Assist with creation of internal controls around vendor payments and cash movement.
• Bill payment and associated cash management for multiple entities, focusing on proper approval prior to cash movement.
• Prepare all cash and non-cash journal entries with proper supporting documentation.
• Prepare bank reconciliations for review by the Controller.
• Prepare and review entity financial statements for periodic distribution to Family Office Management and the Principal.
• Prepare entity cash projections to assist the CFO in identifying shortfalls or excess cash for investment.
• Prepare annual budgets and forecasts as needed.
• Maintain accurate and up-to-date files for each entity on internal network.

Tax Compliance and Planning

• Create process to prepare and provide tax workpapers to external accounting firm on a timely basis.
• Respond to requests of information for external accounting firm.
• Review of draft tax returns prepared by external accounting firm.
• Assist as needed with quarterly tax estimates for various entities.
• Assist with electronic transfer of tax payments.
• Manage timely payment of real estate taxes for entity-owned properties.

Other Financial Services

• Coordinate capital calls and other cash transfers with relevant banks for timely cash movement.
• As directed, assist the Principal or other Family Members with financial transactions
Family Office Development and Administration
• Follow policies and procedures established by the Company.
• Maintain absolute confidentiality regarding all financial and family relationship information.
• Assist in the creation and maintenance of electronic file storage for all files.
• Assist in development of processes to improve efficiencies.
• Be a proactive part of the team, providing support to the family and family office team members.
• Be flexible to changes in this position description as we grow the Family Office.
• Be open to other duties as assigned by the Controller or Family Office Management.
