Job Purpose

The role of EGF Finance program assistant will be responsible for assisting program managers on commercial transactions, which includes, and does not restrict to fund requests and utilization certificate verification. The person will also create/manage operation level documentation for monthly reporting and prepare reports in comparison to the overall achievement. The person would also need to manage and track project level fund flows which will include allotted/spent/unspent/tentative plans

Key Responsibilities
  • Overseeing and coordinating for NGO's vendor management (as per Eicher Group Foundation (EGF) procurement policy)
  • Fund request verification with respect to project plans and MOU
  • Verification of fund utilization certificates and supporting commercial reviews (Fund request and Utilization Certificates vetting based on MOU and expense management).
  • Maintaining project-level financial MIS for:
  • Amount paid to implementing agency
  • Amount utilized by implementing agency (till the relevant reporting deadline)
  • Amount kept as balance with the implementing agency (till the relevant reporting deadline)
  • Tentative budget planning for the next reporting period
  • Variance, if any
  • Maintaining organization level financial MIS
  • Commercial evaluation of the proposals
  • Due diligence of the last three years finances, sources of funding, the financial performance of the organization,. (of the prospective partners).
  • Expense management (Vendor assessments, cost management, process verification) of NGOs
  • Assisting third party CA certification: quarterly utilization certificates (UC) verification and CA certification with independent CA appointed by EGF
  • Assisting in asset verification, write-off, and transfer.
  • Compilation of reports and ensure monthly financial reports are submitted on a timely basis
  • Ensure compliance of all the statutory laws, adherence to organization policies/systems, and timely submission to relevant authorities
  • To facilitate approval of payments, monitor receipts and all advances
  • Work with auditors on execution of periodic audits, assist in finalization of audit reports and filing of returns.
  • Monitor budgets vs expenses and forecasts. Provide assistance in preparing the annual budget.
  • Identify key financial compliance gaps by project partners/vendors and timely intervention, as required.
  • Work in close coordination with program and finance team
  • Any other responsibilities assigned by the program managers

Work Experience

  • MBA Finance/ M.Com Finance or related field
  • Strong interpersonal skills, ability to communicate and manage well at all levels of the organization
  • Excellent written and verbal communication skills in English.

  • Min. 3 years of experience in finance and accounts in the social development sector .
  • Good knowledge of accounting software e.g.Tally
  • Good working knowledge of MS Excel, PowerPoint etc
  • Familiarity with non-profit organization tax, CSR laws and other regulations
  • High level of integrity
  • Ability to perform duties that require a close attention to detail
